Phase 1 — Working Software

This is not a new website.
It is what happens after someone clicks Schedule a Consultation.

cirology.com already does its job — it tells people who you are and asks them to get in touch. Today that button goes to a contact page, and everything after it is memory, inboxes and follow-up that depends on someone remembering. This is the system that takes over at that exact moment.

Ten judgment calls were needed that the documents did not specify — they are all listed here, with what I chose and why. Four of them are yours to overrule.

The straight answer

One piece of software. Two faces.

Not a website, not an app to download. It is software with a small public front door and a private back office — the way a CRM has a web form on the outside and a working system on the inside.

Face 1 — Public

The front door

Lives on cirology.com. One page, in your branding. Your existing Schedule a Consultation button points here instead of the contact form.

  • Qualifying intake form
  • A short business interview the prospect can click or speak
  • Calendar access only for those who qualify
  • Everyone else routed politely, automatically

Face 2 — Private

The back office

Staff only. Never public. This is where the firm actually runs — the part that does not exist today.

  • CRM record for every prospect, scored and graded
  • 6-touch marketing sequence per firm
  • 8-stage sales pipeline you can work as a board
  • Cross-sell signals between Cirology and TAC
  • Won clients drop into an onboarding checklist

What changes on the site you already have

Today

  1. 1
    Visitor reads cirology.com
WordPress site, already built and working
  2. 2
    Clicks Schedule a Consultation
    Goes to /contact/
  3. 3
    Sends a message
    Arrives in an inbox
  4. 4
    Someone follows up
If they remember, and if they have time

With this in place

Steps 1 and 2 are unchanged
  1. 1
    Visitor reads cirology.com
Nothing changes — same site, same content
  2. 2
    Clicks Schedule a Consultation
The button now points at the front door
  3. 3
    Qualified and interviewed
Scored A–D, routed to the right firm, briefed before you speak
  4. 4
    In the system, permanently
Touches, pipeline, cross-sell and onboarding all run from that one record

One link changes on the WordPress site. Nothing is rebuilt, nothing is migrated, and the front door can be styled to sit inside your existing page.

The flow

Seven steps, one continuous line

Every one of these is a screen in this build, not a plan.

1
Consultation Booking
Intake with a qualification gate in front of the calendar.
2
CRM
Scored, graded and assigned to a firm on arrival.
3
AI Business Interview
Adaptive questions, clicked or spoken.
4
Qualification
A–D. Only A reaches a partner's calendar.
5
6-Touch Marketing
Separate sequences for Cirology and TAC.
6
8-Stage Sales
One stage at a time. No skipping.
7
Won / Onboarding
Closing builds the checklist automatically.
The gate

Volume is easy. Quality is the product.

A campaign that fills a partner's calendar with $300–800 tax returns has not helped — it has spent the firm's most expensive asset. So qualification sits in front of the calendar, not behind it.

Routing by grade

Revenue, complexity, urgency, budget, service mix
A
70–100
Calendar unlocked
B
50–69
Follow-up + review
C
30–49
Nurture campaign
D
0–29
Self-serve path

Human checkpoints

The system scores, recommends and drafts. A person releases every touch and every stage move. That is enforced in the rules, not just hidden in a screen.

  • Stages advance one at a time — skipping is rejected
  • Touches release in order, by a person
  • Nothing sends itself
  • A lost lead is frozen until someone reopens it

Nearly autonomous is the goal. Fully autonomous is the risk.

Two firms, one ecosystem

Cirology establishes the truth. TAC acts on it.

The interview is where the second engagement is found. A prospect answering nine questions is telling you, without being asked, which other firm they need — and the system records it as a signal the moment it hears it.

The four pillars

Every advisory opportunity the system surfaces is tagged to one of these, so a partner sees which practice the work belongs to.

Growth & Revenue

Marketing, sales, client growth, horizontal and vertical expansion, market expansion.

Operational Improvement

Workforce and human capital, process improvement, technology, AI and automation, productivity, procurement.

Financial Strategy

Fractional CFO, FP&A, cash flow projections, forecasting, profitability, value-based management, enterprise value.

Wealth Accumulation & Preservation

Wealth planning, investments, insurance, risk, succession, legacy.
